The Problem:

The organization that hosts the world's largest annual entrepreneurial conference, and also conducts more than fifty events for 10,000+ members worldwide.

The annual conference preparation is initially organized by a handful of administrators and initial volunteers who start brainstorming the theme and content. The planning committee eventually expands to more than 225 volunteers who are discretely placed. As the activities move from the planning to production phase, their needs and dependency on limited resources multiplies, leaving less room for further planning. Finally, as they enter into the rollout phase, the number of volunteers who must seamlessly manage various activities across various shifts triples

Based on the previous successful solutions WinStrata had provided for this client, we were asked to lend our expertise to resolve the concerns of the client.

(a) The Solution: meetSIGNet provided the one stop solution, which directly addressed the variety of concerns and processes involved in producing a large conference.

(d) Realize: meetSIGNet-Roster enabled them to solve the complex problem of floor management by effectively managing resources across 3 days. meetSIGNet NameTag and Networking provided an interactive process to solve registration issues reducing the burden of managing unexpected changes as well as empowering the attendees to network effectively

(e) Optimize: meetSIGNet-Survey offered a reliable way to gather and analyze the information the organizers were looking for. The convenience of sharing and accessing vital information through Networking greatly improved the overall efficeincy of the business.

(f) The Conference: The above solution helped the conference accomplish more by allowing committees to focus on the event, and by extracting the best out of volunteers; their floor management, including onsite registrations, was flawless. They also significantly increased the number of event registrants. The planning of the event became easier, and the entire conference experience (from planning to execution) was a complete success!
